Lettings compliance

Lettings compliance software that chases certificates before they lapse

A lapsed gas safety certificate or a missed deposit deadline is a risk a letting agency carries for every property it manages. Propily keeps certificates, licences and checks on the property and tenancy records they belong to, and reminds your team, and the landlord, before anything runs out.

Every certificate, with its expiry date

Gas safety (CP12), EICR, EPC, smoke and carbon monoxide alarms, PAT, fire safety, boiler service and legionella are recorded on the property with their expiry dates and the document itself. EPCs are looked up from the government EPC register and refreshed every week.

  • Gas safety, EICR, EPC, alarms, PAT, legionella and more
  • EPCs taken from the government register
  • Each certificate marked valid, expiring soon, expired or missing

Reminders before anything lapses

A daily check reminds your team as each certificate or licence approaches renewal, at its own lead time, and raises a separate alert when one has expired or is missing. The landlord is emailed about their property too, and sees its certificates in their portal.

  • Renewal reminders at each certificate's own lead time
  • Expired and missing certificates flagged separately
  • Landlords told about their own certificates

Right to Rent, ID and licensing

Right to Rent checks run through a Home Office-backed checker, and the outcome is kept on the tenant's record. Identity can be verified with a document scan and face match, AML checks are recorded against the contact, and HMO, additional and selective licences are tracked on the property.

  • Right to Rent checks with the outcome on record
  • ID verification by document scan and face match
  • HMO, additional and selective licences tracked

Deposits, notices and an audit trail

Deposits are recorded against the 30-day protection deadline. Section 8 notices (Form 3) are prepared with the grounds you choose and served through the tenant portal or by email. Every change is logged with who made it, whether a person, the AI or the system.

  • Deposit protection deadline tracked
  • Section 8 notices (Form 3) prepared and served
  • An activity log of every change and who made it

Compliance on the same record as the tenancy

Because certificates sit on the property and checks sit on the tenant, compliance is visible where the work happens: on the property, in the tenancy, in the landlord's portal and in the tenant's documents. There is no separate spreadsheet to keep in step.

Questions agencies ask

What is lettings compliance software?

Software that tracks the certificates, checks and deadlines a letting agent is responsible for, such as gas safety, EICR, EPC, Right to Rent and deposit protection, and warns you before anything lapses. In Propily it is part of the CRM, on the same records as the tenancy.

Which certificates does Propily track?

Gas safety (CP12), EICR, EPC, smoke and CO alarms, PAT, fire safety, boiler service and legionella, plus HMO, additional and selective licences.

Does Propily run Right to Rent checks?

Yes. Right to Rent checks run through a Home Office-backed checker and the outcome is stored on the tenant's record, alongside ID verification and AML checks.

Which notices can Propily prepare?

Section 8 notices (Form 3), with the grounds you select, served through the tenant portal or by email.

Do landlords see their compliance?

Yes. Landlords see their certificates and their status in the landlord portal, can upload certificates themselves, and are emailed when one of theirs needs attention.
